IDM Solutions and Implementation Success

Once the decision to implement new software and processes has been made, a management team with a strong history of successful implementations is needed. That is exactly what our customers say they have found in PICS. PICS has been implementing software since 1995 and has developed a successful, proven process for implementations. We have managed some of the largest MFG/PRO implementations and some of the most aggressive. Our experience and knowledge is unmatched in the industry and our staff is dedicated and committed to being responsive and available.

The PICS Implementation Methodology requires users to name an internal Project Team and Project Team Manager. It is our goal to work closely with your Project Team and end users to define your expectations and then to make your DocLib implementation tailored, unique and successful. PICS wants to be your partner in building solutions and efficiencies in document management by training your team to achieve a short ROI.

Software Installation & System Administration

PICS installs and configures all of the software needed for DocLib, including Progress databases, application servers and clients, and Kofax Ascent Capture for document imaging. PICS also assists in the development of a system backup strategy for the entire environment.

Project Team Training

On-site training classes are conducted for the Project Team. Our goal is to educate the Project Team on DocLib functionality and determine how each function will be used in this specific implementation.

Project Team Training Topics might include:
  • Files and Folders - Creation and Removal
  • Documents and Document Searches
  • File and Folder Locking and Reports
  • Keywords and Keyword Searches
  • Context Searches
  • Messages
  • Approvals
  • Document Revisions
  • Data Imaging
  • Indexing
  • Audit Trails
  • History Reports
  • The Security Model

Mini Conference Room Pilot

During the Mini Conference Room Pilot, PICS works with the user's Project Team to stress test the software and processes applying all relevant and specific business scenarios. The development and approval of test scripts also takes place during the pilot. And lastly, the Mini Conference Room Pilot is a time for PICS and the Project Team to discuss and plan strategies for the specific use of DocLib and clearly define end user training goals.

End User Training

PICS works with the Project Team to conduct on-site training classes for end users. Our goal is to educate all end users on DocLib functionality and expectations.

End User Training Topics might include:
  • Files and Folders - Creation and Removal
  • Documents and Document Searches
  • File and Folder Locking and Reports
  • Keywords and Keyword Searches
  • Context Searches
  • Messages
  • Approvals
  • Document Revisions
  • Data Imaging
  • Indexing
  • Audit Trails
  • History Reports
  • The Security Model

Conference Room Pilot

The goal of a Conference Room Pilot is to take the end users out of the classroom and put them in the pilot's seat. PICS, the Project Team and the end users work together to put DocLib to work in a setting as close to "live" as possible. At this time, unforeseen issues may arise and a process is put into place to identify the issue, document the issue and present the issue to the Project Team for discussion and decision.

Documentation

After the successful completion of the Conference Room Pilot, PICS creates detailed documentation for the users specific DocLib implementation. The documentation can be used as a reference guide or as a training guide for end users.

Final Integration Testing and Approval

Any remaining issues are documented and submitted to the Project Team for decision. Workarounds or program changes are implemented, tested and approved during this phase.

Go Live

PICS is on-site during the initial implementation of DocLib . During go live PICS provides application, technical and programming support to ensure a smooth delivery.
